About the Team

Communities@Work's Galilee School is a registered, independent school, designed specifically for disengaged, vulnerable young people in Years 7-12 for whom the mainstream schooling environment has struggled to deliver positive outcomes. Working with the school means becoming a part of our social impact. It means helping our young people navigate complex challenges, and building them a better future. It means supporting them in their education, learning and skill-building, and supporting the school in offering an alternative model of education.

About the Role

Under general direction from the Galilee School Principal, and working across campuses as requested, support the efficient and effective delivery of administrative and reception services for Galilee School.

Duties

  • Respond to internal and external enquiries and provide general information and specific program information, as required, to staff, clients and visitors.
  • Distribute and co-ordinate emails, correspondence and other mail including liaison with parents and carers.
  • Provide reception services for telephone enquiries, employees, clients and visitors.
  • Provide administrative support to the Galilee School including filing, photocopying, collation, data entry and other tasks as directed.
  • Support the enrolment, transition and exit of all students attending the school including ensuring all current, past and future pupil records and documents are properly maintained, filed and manually/electronically transferred and archived when students depart.
  • Coordinate purchasing and requisitioning through relevant suppliers e.g. office stationery and supplies, classroom resources etc.
  • Coordinate repair and maintenance services and support the Principal in the coordination of capital works projects across the school.
  • Monitor and follow-up regarding workplace health and safety matters as directed by the Principal.
  • Support the Principal to ensure that the circumstances of accidents and incidents are properly reported, examined and recorded and that all reasonable steps are taken to prevent or reduce the likelihood of a recurrence.
  • Assist in the transportation of students in support of their attendance at school as well as in support of the school's academic and social and emotional program.
  • Ensure that all occupants and visitors, including those who will be undertaking work on the premises, follow correct school entry procedures and are made aware of any hazards on site and of when and where such work activities may affect the ordinary operation of the school.
  • Support the Principal and School Executive Team in managing the collection, and submission of statistical and statutory returns ?as well as meeting compliance and assurance obligations
  • Support the Principal and School Executive Team in coordinating and supporting events such as staff meetings, parent-teacher meetings, school activities, meetings with external parties, etc.
  • Support the Principal and Head of Teaching and Learning with accurate record keeping and in the creation, distribution and collation of student academic reports.
  • Support the Principal and Head of Student Support in the creation and maintenance of accurate student records, including but not limited to attendance.
  • Other administrative and reception support duties as required.

Skills and Experience

Essential

  • Maintain current 'Working with Vulnerable People' registration
  • Knowledge of customer service practices and good interpersonal skills.
  • Ability to be accountable for your own work and exercise discretion and initiative.
  • Intermediate computer skills including, knowledge of Microsoft Word, Excel and Gmail.
  • Knowledge of procedures and work practices.
  • Ability to work towards a competent level of organisational, reception, and communication skills.
  • Ability to work in a co-operative manner within the team.
  • Enthusiasm and flexibility.
  • Mental Health First Aid Training (or able to obtain)

Desirable

  • Current driver's licence
