About the Team  

Communities@Work's Lifestyle Programs (Seniors, Disability, Transport and Support Coordination Services) deliver community support to seniors and people living with a disability in an environment characterised by trust and respect. About the Role 

Under the general direction from the Manager, provide program and administrative support for the suite of Seniors, Transport and Coordination services.  To excel in this role you will have a "can do" attitude and enjoy working closely with your team in a fast-paced work environment, implement excellent communication skills, provide exceptional customer service, effectively manage and prioritise interchangeable program and service tasks and enter timely and accurate data that contributes to client, program and divisional reporting. 



  • Promote and provide a positive and helpful service for clients, visitors, staff and stakeholders in answering telephone, email and program enquiries 

  • Effectively engage, develop and maintain strong relationships with all areas of the organisation 

  • Liaise with external service providers and stakeholders 

  • Follow the Non-Response process, communicate actions and record file notes as required 

  • Program administration and project work as required and directed  

  • Complete Service Agreements with NDIS participants   

  • Use the NIDS portal to complete and monitor service bookings for Support Coordination 

  • Access My Aged Care for referral and engagements for monitoring purposes, as directed.  

  • Enter and maintain accurate client records, documentation and data within relevant program/service/financial data bases. 

  • Verify and process evidence sheets/invoices for services provided 

  • Monitor, record and distribute emails daily. 

  • Coordinate stationery order for site and distribute. 

  • Log maintenance requests for site as required/directed. 

  • Assist with program holiday/sick leave and other backfill as directed 


Skills and Experience 


  • Knowledge of customer service practices and demonstrated excellent interpersonal and communication skills 

  • Willingness to learn and operate within the National Standards relating to disability, community and aged care services 

  • Intermediate computer skills including a working knowledge of Microsoft 365 and database management 

  • Proven ability to consistently achieve efficient and effective corporate and program specific administration services 

  • Demonstrated ability to provide an exceptional level of organisational reception skills and program support 

  • Enthusiasm, adaptability and flexibility to work within a variable and at times, fast paced team environment 

  • Maintain current 'Working with Vulnerable People' registration 

  • Current driver's licence 


  • Experience with the My Aged Care system and/or Commonwealth Home Support Program Experience working in the Community Sector, particularly within Aged Care and Disability Services. 

  • Experience with TMA/SOS Technology software
